Accommodation Manager - Sheffield

Our client, a provider of purpose built student accommodation, have a requirement for an Accommodation Manager to join their team in Sheffield and lead in exceptional customer services and welfare for the residents 


  • Ensure compliance with all agreements, leases and contracts pertaining to the accommodation, including but not limited to those relating to the Operating Company, the Property Owner, Lessees and the University
  • Leadership and direction of the accommodation(in line with UK Business Plan)
  • Assisting with the preparation of a detailed Accommodation Business Plan (annually) in conjunction with the Regional General Manager
  • Delivery of Business Plan financial targets
  • Business Development (Target 80:20 split between business development and day to day management of the accommodation)
  • Day to day direction of the management team, assisting them in their own personal development, and development of strong support functions.
  • Identification and pursuit of new development opportunities on the accommodation site and immediate surrounding area. Acts with the Regional Manager in negotiating such opportunities
  • Ensure that the business achieves all of its objectives, including performance standards as agreed from time to time with the University and the client
  • Preparation and distribution of reports to external stakeholders as required by legal agreements. This includes but is not limited to reports for the Operating Company, University and finance providers
  • Preparation of the operational reports for the board
  • Ensure that profitability is maximised, including with regard to summer income
  • Ensure that all fiscal and legislative responsibilities are adhered to 


  • In conjunction with the Regional General Manager, prepare and implement a detailed annual marketing plan for the promotion of the residences, ensuring that the accommodation is promoted effectively within the University as well as to the broader community
  • As part of the marketing plan process ensure knowledge on the following is up to date, accurate and reflected in the Business Plan:
  • Accommodation target markets; o New markets identified; o Market intelligence on both existing operators/facilities and new developments;
  • Strategic marketing view of where the accommodation and the associated university are heading over the next three years
  • Ensure that key tools such as the accommodation website and accommodation Facebook site are always up to date and relevant
  • Actively promote the accommodation to target markets and to conference clients at the appropriate times
  • Maintain a visible presence within the University, attending functions and establishing contacts within faculties and administrative departments 

Asset and Risk management

  • Responsibility for Sinking Fund and Asset Management Programme in conjunction with the Regional Manager
  • Negotiate Service Level Agreements and monitor compliance, including annual compliance audits
  • Establish and maintain a Risk and Incident Register for the accommodation 
  • Implement a CPAR (Corrective/Preventative/Action/Request) System within the accommodation for all facility- and safety-related matters
  • Supervision of Lessees within the residence ensuring adherence to Lease conditions
  • Ensure that the asset is maintained to the highest possible standards (good or excellent)
  • Liaise with the Regional Manager to effectively manage the Sinking Fund in line with Asset Management Plan and other capital expenditure demands
  • Effectively manage refurbishments or major special projects while minimising impact on the on-going management of the facility
  • In conjunction with other management of the accommodation conduct regular inspections of public areas, reporting any damage, misdemeanours or breaches of residence rules and regulations
  • Ensure that all incidents are recorded into a CPAR register and closed out within the prescribed timeframe
  • Provide out of hours support to the accommodation as required, to ensure that issues are escalated according to procedure
  • Be fully conversant with the Residence Fire and Emergency evacuation procedures and ensure that all staff and Resident Assistants are trained in this area
  • Ensure that the Occupational Health and Safety procedures and policies are implemented at all levels throughout the Residence
  • Supervise the implementation and accurate upkeep of the accommodation: o Asset Management Plan; o Risk register and associated process; o Incident register and associated process; 

Residential Support

  • Ensure that student safety and security is always the main priority in the operation of the accommodation 
  • Provide guidance and leadership to students, directly and through the supervision of student residential staff
  • Have a comprehensive knowledge of services available to students within the University and the local community, and how to access them
  • Supervise the conduct of residents, monitoring and regulating individual and group behaviour, and supporting residents by providing advice and guidance and mediation (where required) in a broad range of areas
  • Implement and maintain an active student life programme incorporating direction and structure provided by the client via its Residential Life Programme.
  • Ensure the residential team at accommodation level is trained in all aspects of the Residential Life Programme, including philosophy, structure, reporting, assessment and importance to the organisation
  • Based on feedback, participation levels, achieved outcomes, resident feedback and University feedback, revise and amend programme calendar if required
  • Assist in developing an environment that promotes and supports the social and personal development of the residents and is conducive to study
  • Be fully conversant with the Accommodation Handbook and the Rules and Regulations, enforcing them with impartiality
  • Attend to emergencies or problem situations in an efficient and effective manner to ensure the safety and wellbeing of all residents 

Residents, Customers and Stakeholders

  • Develop and maintain relationships with the University at the executive level
  • Be seen a positive role model by residents throughout the accommodation
  • Establish positive formal and informal relationships with the University
  • Establish positive relationships with creditors, suppliers and internal stakeholders
  • Liaise with and respond to resident queries
  • Effective management of health surveys: o Administered in timely manner; o Response rates; o Analysis of feedback; o Corrective action plan development and execution 

Human Resources/Legal

  • Liaise with HO support teams to manage all HR issues, including recruitment, training and performance management
  • Be seen as a positive role model by staff at the scheme 
  • Provide guidance and direction to staff through documented one-on-one meetings addressing: o Performance o KPIs o Feedback and refocus
  • Conduct annual Performance Reviews in line with guidelines provided
  • Sound knowledge of all associated legal documentation for the scheme, including Management Agreements, Service Level Agreements, Rental Agreements, etc.
  • Legal disputes to be handled at site level, with Head Office legal counsel in support
