Front of House Assistant

PRC is delighted to be recruiting a Front of House / Receptionist for a high – end office space in West London.

This position will pay a salary between £23,000-£25,000 DOE for Monday to Friday working hours.

The Role

The main responsibility of this role will be reception management: providing an inviting and friendly environment for members and guests visiting the building, whilst ensuring processes are followed to maximise efficiency. You’ll help make the building a great place to visit and a great place to work. As part of the most visible team in the building, you’ll help to build a great culture and set standards for great service.

Ultimately, the service provided by the Front of House reception and the centre team are the catalyst for providing customers with reasons to come to the venues and to continue their journey with the company. Hence having a positive, proactive, and overall can-do attitude at all times is crucial!

Key responsibilities will include (but not limited to):

  • Providing a courteous, efficient, and helpful Front of House service for all users and visitors to the facility and to provide a first point of contact for enquiries in respect of all activities
  • Answering the main phone line - in a polite and gracious manner while ensuring messages are passed on to the relevant person
  • Recognising key members and guests, greet them by name and build strong relationships with them
  • Ensuring all members in the building are registered on the system and all guests are signed in
  • Ensuring that recipients are made aware of collection procedures in a timely and efficient way
  • Being the focal point for reporting building defects
  • Being proactive during normal day-to-day duties in order to assist the Security Services in helping to prevent loss, damage, accident and crime activity
  • Being aware of events occurring in the building and to operate, in liaison with your Line Manager, any equipment installed for informing persons of such events
  • Developing a strong understanding of each company in the building
  • Understanding and demonstrate the brand and values of Imperial College and Scale Space
  • Ensuring the reception area is always kept immaculate
  • Being fully aware of the Building Fire Safety procedures and Health & Safety regulations
  • Conducting occasional building tours for members and/or visitors
  • Assisting in member events planning and corresponding member communications
  • Undertaking any other duties as appropriate within competence, as required

Requirements:

Education:

  • Level 2 NVQ Diploma (Desired)
  • GCSE’s at grade A* to C including English and Maths

Experience:

  • A proven track record of working within a customer service environment that delivers an exceptional, first-class service
  • Experience of working in a reception service and coordinating various activities and/or people
  • A working knowledge of Health & Safety legislation in the context of a Front of House service and appropriate to role
  • Good computer/IT literacy, particularly Outlook, Word and Excel (beginner to intermediate level)

Skills:

  • Excellent communication skills, both written and verbal
  • Warm, outgoing and friendly personality, with a strong ‘customer first’ attitude
  • Great prioritisation skills and ability to take on tasks proactively
  • Ability to work independently and without close supervision whilst being a strong team player
