Maintenance Coordinator - Nottingham

Our ideal candidate will already have worked in a busy maintenance department with a clear understanding of property maintenance, property compliance and how to operate within a busy student portfolio. will be a responsible self-starter who can lead and take ownership of the day-to-day They will have the ability to work well under pressure, deliver outstanding levels of customer experience and have a can do, positive attitude. Your job will be to provide exceptional levels of customer experience to our tenants and manage the ongoing relationship with landlords in your designated portfolio through the ruthless execution of maintenance, compliance and problem solving on a daily basis.

Your main tasks will include taking inbound phone calls, problem solving maintenance queries, instructing contractors with clear instructions and time frames, managing property keys to ensure they are returned, inspecting your designated portfolio to pick up on hazards and maintenance, managing your tenants move out reports and instructing end of tenancy works as well as liaising with your landlords to keep them informed along the way. You will be keen to look for new ways to ensure our clients have the best experience with us at all times, managing the day to day relationship and reporting key metrics to the landlord and when things don’t go well, being on the for front of complaint handling to ensure we get a resolve while fixing the problem that caused it.

  • Receive requests for maintenance faults reported prioritising needed e.g major or minor faults
  • Instruct contractors in line with the landlords guidelines with clear instructions and time frames
  • Monitor progress of jobs / hastening progress / completion.
  • Organising certification for properties to ensure they are fully compliant.
  • Dealing with any complaints swiftly and with care.
  • Accurately updating information onto in-house systems
  • Liaising with tenants and landlords on a daily basis
  • Providing general support and assistance to operational colleagues
  • Inspecting the portfolio
  • Reporting all information clearly and accurately to the landlord.
  • Managing your maintenance keys to ensure we always have access to the properties when we need them.
  • Managing your out of hours emergency team.
  • Recruiting the best trades on the market to maintain your portfolio.

Qualifications and Requirements

  • Previous experience as a Maintenance Coordinator in a busy student portfolio.
  • Familiar with office equipment including printers and computers
  • Excellent organisational and time-management skills
  • Strong written and oral communication skills
  • Experience with Microsoft Office essential
  • Problem-solving attitude with an eye for detail
  • Competent and assured phone manner Competent and assured phone manner
  • Jupix knowledge advantageous.
  • Experience in dealing with a student HMO’s advantageous.
